Temporary Full Time Operations Coordinator/ Administrative Assistant

Western Canada Marine Response Corporation (WCMRC) is a Transport Canada certified Response Organization, whose mandate is to ensure there is a state of preparedness in place and to mitigate the impact when an oil spill occurs. This includes the protection of wildlife, economic and environmental sensitivities, and the safety of both the responders and the public.
We are seeking a Temporary Full Time (18-month contract) Administrative Assistant/ Operations Coordinator to join our team in Prince Rupert B.C.
The Administrative Assistant/ Operations Coordinator will be responsible for:
  • Maintains Operations Scheduling Calendar, schedules exercises, maintenance activities, planning vacation time and employee shifts where required.
  • Assists operations management in the execution of Base Level exercises and drills to evaluate personnel and equipment readiness.
  • Successfully executes assigned tasks during certification exercises in accordance with the Oil Spill Response Plan.
  • Assists with timekeeping for staff on spills and provide administrative support.
  • Plans and supports the completion of GRS’ within their ZOR.
  • Maintenance of Vessel Sea-Time log for crew.
  • Assists with the development of the internal training plan, which ensures all Base employees are capable of deploying all assigned equipment.
  • Assists in coordinating scheduling of maintenance activities to ensure operational requirements are maintained.
  • Perform frontline duties by greeting visitors, answering the phone, book meeting rooms, filter media and respond to general inquiries.
  • Maintains WCMRC office facilities and equipment.
To be successful in this position you will bring a minimum of one to three years of previous experience in office administration and coordination, along with a completion of post-secondary education. You will need to be a collaborative team player, able to coordinate and interact with multiple people and projects, and skilled at managing changing and shifting priorities. In addition, high attention to detail, strong computer skills, including proficiency with all MS Office applications is required.
