We are looking for a dynamic Office Manager/Office Administrative Assistant to support us in a key operational role out of our Vancouver office. The Office Manager will be responsible for the smooth operation of the daily business activities within the office. This includes coordinating administrative support and ensuring a productive working environment for all staff members. The Office Manager often serves as a point of contact for clients, suppliers, and employees and must possess excellent organizational, communication, and interpersonal skills.
We are looking for someone who has a plan and checklist for everything.
While traveling, you are always the one with a carefully orchestrated itinerary (but when the inevitable snag occurs, you regroup and recover without a sweat). You operate on the premise that “everything has a place”, and you notice when things aren’t where they belong. If you have a natural ability to organize chaos and create routine where it’s lacking, we’d love to have you join our team!
Responsibilities - Managing office supplies and equipment, including ordering of office supplies and maintaining an inventory of all company owned IT.
- Leading our organization’s OHS initiatives and our joint health and safety committee.
- Liaising with building management or vendors as necessary for facility-related issues.
- Support with organization and execution of various employee social events.
- Supporting our recruitment team by managing job postings and scheduling candidate interviews.
- Support in the onboarding of new employees.
- Ensuring the office environment is clean, well-maintained, and that our plants don’t die.
- Ensuring that the kitchen is stocked with a delicious array of snacks and beverages for our in-office staff.
- Other administrative duties, as required. This piece is difficult to capture, but it’s important to note that this will make up about 50% work day.
Requirements and skills - Post-secondary education in Business Administration, Human Resources, or a related discipline is preferred.
- Proven experience as an Office Manager or Administrative Assistant.
- Detail-oriented and ability to prioritize and multi-task.
- Excellent organization and time management skills.
- Ability to work with a high degree of diplomacy, confidentiality, and professionalism.
- Enjoys taking on ad-hoc tasks and projects and seeing them through. Remember how we said “Other administrative duties, as required” will be about 50% of your job?
