As an Executive Assistant at Swyftx, you will provide high-level support to a small group of C-Suite Executives, ensuring an efficient, organised environment that allows them to focus on strategic priorities. You will manage complex calendars, coordinate logistics, and drive the execution of critical business initiatives, all while anticipating needs, proactively solving challenges, and handling confidential information with the utmost discretion. 


Please note that our headquarters is in Brisbane, and we offer a hybrid working model with at least three days per week in the office and added flexibility when our Executive team is on the road.  
 
Some of your key responsibilities in this role will include: 

  • Own Complex Calendars: Prioritise and coordinate internal/external meetings across multiple time zones, ensuring alignment with strategic priorities. 
  • Manage Travel & Logistics: Book detailed domestic and international itineraries (flights, accommodation, ground transport).  
  • Drive Critical Initiatives: Support project planning, prepare decks and briefs, take meeting minutes, and track follow-up actions to keep projects on track. 
  • Gatekeeper & Liaison: Serve as the main point of contact for internal teams and external partners, welcoming and coordinating requests to help prioritise executives’ time and streamline communications. 
  • Craft Communications: Draft and proofread presentations, reports, and emails, maintaining a polished, on-brand voice. 
  • Improve & Innovate: Identify ways to streamline administrative processes, introduce new tools or automations, and document enhancements to continuously elevate how you support the Executives.  
To be successful you will have: 
  • Significant experience partnering directly with C-Suite executives in tech or fast-paced environments. 
  • Meticulous organisational skills, expertly juggling complex calendars, competing priorities and action items. 
  • An anticipatory mindset and calm under pressure, foreseeing needs, adapting swiftly and responding with appropriate urgency. 
  • Exceptional communication skills, crafting concise written materials and delivering polished presentations to diverse stakeholders. 
  • Proficiency with collaboration and scheduling tools (Slack, Outlook, SharePoint) and a quick aptitude for mastering new software and automations. 
  • Strong emotional intelligence and flexibility, building rapport across stakeholders with a collaborative, can-do attitude. 
  • Unwavering discretion and integrity, handling sensitive information with complete confidentiality.
