Executive Assistant

The Opportunity:

As the Executive Assistant to the Managing Director and Founder, you will manage a range of administrative duties, ensuring a seamless experience across both professional and personal life. From managing inboxes and calendars to coordinating a busy travel schedule, this role is perfect for someone who thrives on variety, stays cool under pressure, and keeps everything moving like clockwork.

What you’ll be doing
  • Inbox, Calendar & Communication Management - Manage emails, calendars and calls for the Managing Director, ensuring everything runs on time and stays organised.
  • Proactive and Reactive Admin Support - Provide high-level support with minimal direction, juggling multiple priorities and responding quickly to changing needs.
  • Meetings & Travel Coordination- Coordinate meetings and handle complex travel itineraries, both domestically and internationally making sure every detail is covered.
  • Document Preparation - Create professional presentations, reports, agendas and communications that are clear, polished and on-brand.
  • Stakeholder Engagement -Build strong relationships across the business and with external partners, building rapport and delivering a quality experience.
  • Expenses and Ad hoc Admin Support - Manage invoices, expenses and reconciliations, while supporting the team with errands and general admin, as needed.
Essential Skills and Experience:
  • Extensive EA Experience (10+ years) having supported CEOs or Founders in fast-paced environments and know how to navigate busy travel schedules and shifting priorities.
  • You’re a whiz at booking travel, accommodation, and meeting spaces both locally and nationally.
  • Confident communication skills, you write and communicate with clarity, adapting your style to suit the Managing Director and wider team.
  • Tech-Savvy and confident across Microsoft Suite and Adobe, using other tech to boost efficiency and get things done.
  • Organised & detail oriented, you are across the finer details, juggling multiple tasks without dropping the ball.
  • A team player - you’re collaborative, hands-on and happy to help wherever needed (must have current driver’s license).
