What You’ll Be Doing As the Office Manager/Document Controller, you’ll be a key player in managing the day-to-day operations and ensuring the smooth running of the office. You’ll be overseeing everything from office administration to compliance with industry-leading HSEQ standards. Additionally, you’ll be the guru of document control, ensuring every file is managed, updated, and stored properly—keeping the team running like a well-oiled machine.
Document Controller Responsibilities - Manage and maintain all controlled documents, ensuring they are up-to-date and easily accessible.
- Create and oversee a document classification and filing system to streamline the entire document lifecycle.
- Conduct regular audits to ensure all documents meet industry and company standards.
- Support external audits, ensuring all required documentation is organised and compliant.
- Provide authorised personnel with documents quickly and accurately.
- Ensure compliance with legal, industry, and company requirements for document storage and control
Office Management Responsibilities - Ensure the daily smooth operation of the office, including administration and system improvements.
- Work with IT providers to maintain office equipment and systems.
- Coordinate office layouts and procurement, ensuring everything is in tip-top shape for efficient operations.
- Oversee the onboarding process for new hires, from arranging equipment to ensuring proper documentation is in place.
- Handle staff queries regarding office issues, from travel arrangements to stationery management.
- Lead continuous training and development initiatives for both office and field staff.
HSEQ (Health, Safety, Environment, and Quality) Responsibilities - Develop, implement, and maintain HSEQ policies and procedures to ensure company-wide safety and quality standards.
- Conduct regular audits and risk assessments to identify potential hazards and maintain compliance with WA HSEQ standards.
- Oversee emergency procedures, signage, and PPE management.
- Liaise with HSEQ auditors to acquire and maintain company accreditations.
- Investigate incidents and implement corrective actions to ensure a safe working environment for all staff.
- Maintain detailed records of safety-related incidents and suggest improvements.
What You’ll Bring to the Table - Minimum **3 years of experience** in office management, document control, or a similar role.
- Hands-on experience with **HSEQ standards** and **ISO accreditations**.
- A high degree of proficiency in document management software and the **Microsoft Office Suite**.
- Proven ability to organize and manage complex office systems and document processes.
- Excellent multitasking abilities and problem-solving skills.
- Strong communication and interpersonal skills to interact with staff at all levels.
- A meticulous attention to detail and the ability to work both independently and as part of a team.
